PHSO is an independent national ombudsman service. We make final decisions on complaints that have not been resolved by the NHS in England, UK government departments and some other public organisations. We do this fairly and without taking sides. Our service is free.

About the role

We are looking for a motivated and enthusiastic Executive and Committee Administration Officer to join our small, dynamic, and friendly team. This is a fantastic opportunity to work at the heart of PHSO and gain first-hand insight of how the organisation operates at a senior level.

This unique role is pivotal in ensuring that we continue to deliver efficient management and stewardship of PHSO, as well as providing an excellent service to our most senior colleagues. 

The Executive Office and Governance Team operate at the very core of PHSO. We provide strategic advice and executive support to our most senior colleagues (including the Ombudsman, Chief Executive Officer and the Chief Operating Officer) to ensure that they are able to deliver on our corporate priorities. We are also responsible for the processes by which PHSO achieves compliance with legislative, regulatory, and governance guidance requirements. 

We are looking for a self-starter with an understanding of corporate governance and previous experience in an administrative role. You will be able to manage multiple priorities in a fast-paced and pressured environment.

Reporting to the Assistant Private Secretary, the Executive and Committee Administration Officer will be responsible for:

•    assisting the Executive Office and Governance Team in supporting the Ombudsman, Committee Chairs, Chief Executive, Board Members, Executive Team, Senior Leadership Team and auditors
•    supporting the administration of internal control systems, the corporate calendar, the Governance Framework and other records
•    creating forward plans, sending meeting invites, circulating agendas and supporting documents and attending and minuting meetings where required
•    managing diaries, commissioning papers, managing correspondence, booking travel and accommodation, and providing general admin support

The Successful Applicant
Essential:

•    Previous exposure providing administrative support, including diary management, organising meetings and minuting meetings
•    Experience of prioritising effectively in a fast-paced environment
•    Demonstrable experience of building and maintaining relationships at all levels
•    Knowledge of analysing complex written material and summarising key issues
•    A confident user of MS Outlook and managing diaries
•    Excellent communication skills, both written and verbal

Desirable:

•    An awareness of public administration (central government in particular) or the NHS and the context in which it operates
